1. Account

1.1. Does Redforts offer a telephone support service or small training sessions?

We offer a professional and agile support service. To request support simply call us or send an email. We offer a free of charge set-up service to configure and operate Oscar. The service is offered by telephone and takes about half an hour to one hour.

1.2. How can I change my password?

As a main user you can edit your own user from the >Users page under «Setup». If you are not a main user, you'll find the option «Change password» directly under «Setup».

1.3. How can I pay my Oscar usage fee?

You can pay your usage fee directly by credit card or by bank transfer. Go to the payment page and select a contract period, your payment option and follow the instructions.

1.4. After I paid for the service, do I keep my account and all data introduced during the trial period?

Yes, absolutely. All information and data you introduced is kept unchanged. You continue to have access to all data with the same account. No change at all.

1.5. How can I save money by referring Oscar to a friend?

Surely you know people in the hotel sector that also would like to get to know Oscar. Invite them and start saving on your Oscar services fee. For any client you bring on you will be rewarded with free usage days of service of about 3 months of service. Inviting friends and referring Oscar is really very easy to do. To send an invitation visit our invitation pages in the configuration section and click on the button invite someone, introduce the email address of your friend and write him a message.

1.6. How can I unblock my account?

After 5 failed login attempts, the system will block access of the user to maintain the security. Simply request a password reset on the login page to unblock your Oscar account.

2. Legal

2.1. Does Redforts Software comply with European Union Privacy Legislation?

Yes, Redforts Software S.L complies with all legal requirements with respect to European —and Spanish— privacy legislation (LOPD). Redforts' privacy data files have been legally registered with the Spanish Data Protection Agency (AGPD) with registration number 2101442725.

2.2. Do I need to do anything different with respect to Privacy Law compliance for using Oscar?

No, independently of the media used to register personal data of your clients, you will need to comply with the same legal requirements. If your business resides in the European Union you will need to comply with your local legislation on Data Protection and the European privacy legislation as defined in the European Union Directive 95/46/EC of 24 October 1995).

3. About Oscar and its requirements

3.1. What are the advantages of using Oscar over PC applications?

Oscar is not just a Hotel Management software application. It is much more than that! Oscar is a complete service that offers the peace of mind that a PC application cannot offer. All IT-related tasks that you have to perform with an old-fashioned application to assure your business continuity, such as install updates of the application, ensuring integrity, making backups of your data and storing it in a safe place. All of that we do for you!

With Oscar you do not need to perform any of these software-related tasks to ensure availability of your hotel management system. Moreover, you do not even have to worry about your hardware, because Oscar does not depend on any computer or hardware platform. If your computer breaks down, you do not lose any data! Just pick or borrow another computer and you can continue where you were.

Backups: we make them for you twice a day, assuring your data.

Privacy: Redforts Software complies with the strictest privacy policy to assure the privacy of your data.

Security: Redforts' servers are located at Telecity, in London, a state-of-the-art and quality-certified data centre.

3.2. Is my data safe?

Yes, very safe. Apart from creating backups of your database twice a day, Redforts also saves your data on separate servers. In addition to that, the data centre we use of Telecity in London is a one of the most sophisticated and modern data centres in Europe. We invite you to read more on our data centre on these pages.

3.3. How do I change the language in Oscar?

You can change the language in Oscar by using the pull-down menu located in the right hand top corner of the screen. By default Oscar uses your preferred language as set in your browser configuration. To change the language, simply place the mouse pointer on the word «English» and select the language. At this moment Oscar is available In four languages: English, Spanish, French and Dutch.

3.4. What browser and browser version do I need for Oscar?

Oscar uses the latest web technologies available with the latest versions of the most important browsers. For your own security, Redforts advises you to keep your browser updated to the latest version. Check the minimal version requirements for Oscar in the following table:

3.5. Why can I not use Internet Explorer 7?

Oscar uses the latest web technologies. Apart from being unsafe, IE 7 is not able to support these technologies. If you would like to work with Microsoft Internet Explorer we suggest you download the latest version for your operating system from the web portal of Microsoft.

3.6. Can I send e-mail directly from Oscar?

Next to the email fields of Oscar a button with the '@' symbol is shown. With this button you can link your email program with Oscar. Simply click on the button and your email program will create a message for the email address shown in the field.

If it does not work as expected, check your browser configuration:

  • For Firefox (Redforts' recommended browser): in the menu Tools → Options → Applications search for «mailto» in the search field and check if the email program you use is defined here.

  • For Internet Explorer check in Tools → Internet options → Programs tab, that in the field «Email», your email program is defined.

3.7. Can multiple persons work simultaneously with Oscar?

Yes, Oscar is designed exactly for that purpose and takes into account that multiple persons work at the same time, making reservation, generating invoices, etc. With this it allows people to work from various locations, such as the reception, the restaurant, bar or even from home or when you are on holiday.

4. Timetable and reservations

4.1. How do I navigate the timetable?

You can navigate the timetable using the mouse wheel or with the navigation buttons. The navigation buttons move the timetable 1 day, 1 week or 4 weeks up or down. Use the calendar button to jump directly to a specific date.

4.2. How do I change the timetable view?

You can personalize your timetable view by:

4.3. How can I show a short message in the reservation block on the timetable?

On the «Reservation» page a free text field of maximum 120 characters is available for this purpose. Enter a text and see how it is shown on the timetable.

4.4. How can I create reservations of multiple rooms?

Multiple accommodation reservations can be created by simply drawing more than one block on the timetable.

Note: Multiple blocks can be drawn even quicker by holding down the mouse button and moving the mouse sideways. It is even possible to "jump" sideways over other blocks.

4.5. What information is shown on the reservation blocks on the timetable?

The reservation blocks on the timetable shows information on the reservation in three parts:

  1. The name and/or company of the person that made the reservation. If neither of them is available, the name of the sales channel is shown.

  2. The text of the free field of the short note.
  3. The details of the other guests.

5. Prices, seasons, rates

5.1. How do I set up my seasons?

There are two configuration pages related to the season definition.

  1. Set up season types to name the season to use, such as: «Low season», «Mid season», «High season».
  2. Set up season dates to define de the start and end dates of the seasons.

Note: By default a «Standard» season is available. This season is shown with a red background. You can change the name of the season, however you cannot delete the season. For this season you do NOT have to define any start and end dates. Any date that is not assigned to a season is considered part of this «Standard&raqou; season.

5.2. How can I create special offers in Oscar?

To create (special) offers or different rates do the following:

  1. Define the names of the offers such as «Summer special»
  2. Set the prices for these offers in the pricing table.

Make sure you have checked the rate box for in set up accommodations to indicate that the accommodation uses rates. More information in the on-line help of Oscar.

5.3. How do I enter prices for half or full board?

You can set up prices for your accommodation in Oscar in a very flexible way. If your prices depend on the specific season, then first define the seasons and their dates. Afterwards define the rates for half and full board. Use the «Standard» rate (with the red background) for the rate you use most (such as «Bed and breakfast») and change the text accordingly.

Once you have defined the seasons and the rates, make sure you have checked the tick boxes «seasons&raqou; and «rates&raqou; in set up accommodations, to indicate which accommodation use prices that depend on seasons and/or rates. Now you can define the accommodation prices.

5.4. How do I enter prices for special supplements?

If you charge for supplements such as extra beds, cot, single person surcharge etc., simply define them as items. Once defined it is easy to charge these items for all days of the stay using the option «every day» or «every morning».

6. Invoicing

6.1. Can we start numbering our invoices from a certain number?

Yes, that is possible. Oscar offers full flexibility in defining your numbering system. You can define a prefix or leave it empty if you do not use it. The first time you create an invoice simply select «manual» in stead of «next available» and enter the number you need. The next time keep «next available» to ensure automatic consecutive numbering.

For your information: Oscar will inform you if you recently created gaps in the numbering scheme of your invoices, the missing numbers will be shown.

6.2. Can I create pro-forma invoices?

Yes, Oscar allows you to generate pro-forma invoices the same way it creates normal invoices, in PDF, which allows you to send them by email. This function is available on the same 'Invoice' page.

6.3. Can I upload my logo for the invoice layout?

Most of our clients use paper with their company letterhead and adapt the printing of Oscar, setting the margins and font type, etc. On the set up invoice design page you can adapt the printing to your letterhead paper.

If you do not have your own company letterhead paper, but you would like to see your logo on the invoice, you could design your letterhead with a standard word processor such as MS-Word and print out the amount of paper that you require. However if you print out a lot of invoices, it is probably less expensive to get you paper printed in a print shop than to use your own printer for this. Printer ink cartridges tend to be rather expensive.

6.4. Can I send an invoice directly by email from Oscar?

Oscar does not allow you to directly send invoices from the application. However if you use a PDF reader such as Adobe Acrobat you can easily send the invoice. Just open the invoice and select File → Attach to email. A new email message is created with the invoice PDF file attached.

6.5. Do I need to incorporate a legal privacy notice on the invoice?

No, the required minimum is: invoice number, date, name and family names or business details of issuing and receiving entity, VAT number of both entities, address, description, date and price of operation and applicable VAT rate.

7. Front office

7.1. How do I start to use the front office?

Oscar's front office is ready for use. You only need to make it visible on your web page. It is really very simple. You only need to introduce a small snippet of code into your web page. You can generate the code on the configuration pages. Obviously you can adapt the presentation and the colours of the front office and integrate it to match your web page design.

7.2. What availability is shown by the front office?

The front office shows the availability as you see it on the timetable of Oscar. That is to say, when you enter a new reservation on the timetable, the availability calendar on the front office will update automatically. You do not need to take any action. It is always in sync. In addition you can choose what level of detail is shown on the front office.

7.3. What languages are available for the front office?

Oscar supports five mayor European languages: English, French, Spanish, German and Dutch. Not only are the reservation forms available in these five languages, the front office offers you all you need to serve your international customers with: conditions, privacy statements, confirmation email messages. Absolutely everything is available to you in five languages ready for use. Obviously you can change the forms and adapt the texts to meet your specific requirements.

7.4. Can I define minimal stays?

Yes, the front office of Oscar allows you to implement reservation rules for the requested stays. You can define rules such as: minimal stay, weekend stays, whole weeks etc. Everything you need to assure that you customers can only choose those arrival and departure dates that fit your requirements.

7.5. How do I receive the requests?

When a customer fills out the front office request form on your web page, a email confirmation message is sent to the customer with a copy to yourself. The request will show up in Oscar on the Requests page. With a simple click you can accept the requests and enter them automatically in the timetable as a new reservation with all its detail.

7.6. Do I have to pay more for the front office?

Oscar offers an integrated solution for professional management of your business:

Choose for the basic service (back office only) or for the complete service (back office and front office).

7.7. How do we generate the code snippet to integrate the front office on our web?

In the «Configuration» section of Oscar you can find the front office integration page. On this page you can test the different colour schemes and select that one that best integrates with your web page. We recommend you to use the «Show in new window» option to test the different styles. Once you are satisfied with the result you can use the button «Generate HTML code» to create de code snippet and copy it onto your web page.

7.8. Can the front office be placed on more than one web portal?

Yes, you can have multiple "front offices" of Oscar. You can integrate the Oscar front office in all web pages of your sales channels using the code snippet that you generate on the front office integration page. Obviously you can adapt the design of each and every one of them to the design of the portal that you publish it in.

7.9. Does the Oscar front office send a reception confirmation message?

Yes, Oscar automatically sends a request reception confirmation message by email. In this email all the relevant data of the reservation is shown. The message is sent both to the requester as well as to the hotel.
